This position is responsible for managing and facilitating activities for leadership /executive committees and network leadership for a large, multicenter clinical trials network. The research associate II is the direct liaison to the chair and vice chairs of the network and related committees, and coordinates and manages committee and network business in consultation with the chair. The research associate II may also be responsible for other project-related activities that do not directly fall under committee management. The research associate II independently provides administrative and technical support, consulting with the supervisor as needed, and makes decisions for job-specific duties and issues based generally on previously established criteria and precedents but keeps the supervisor informed of these decisions. Establishes own priorities with only general guidance from and periodic review by the supervisor.

Responsibilities

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily:

  • Communicates effectively with committee/project leadership and members to manage committee/project business, including identifying problems, developing and suggesting effective strategies, and facilitating resolutions; directs the committee/project on responsibilities, actions, and timelines and ensures that routine activities and goals are accomplished in a timely manner; may communicate with leaders of other committees or others to facilitate committee/project activities or issues.
  • Coordinates and facilitates committee/project conference calls and face-to-face meetings. Prepares agendas, tracks and proactively addresses action items, and handles sensitive information confidentially.
  • Independently writes review/decision letters, conference call and meeting discussion summaries, and memoranda and communications that are timely, technically accurate, grammatically correct, concise, and comprehensive where needed for leadership review with little or no guidance from the supervisor.
  • Coordinates, accurately generates, or creates necessary documents for timely distribution to the committee/others and develops, maintains, quality assures, and distributes standard or ad hoc reports, interacting with internal project staff and external clients as necessary to ensure accurate and timely information.
  • Demonstrates proficient knowledge of internal and external procedures, policies, and guidelines, reviewing and/or revising them or drafting new documents as needed; provides guidance to the committee as needed; contributes to standardization and consistency of support across committees/projects; and serves as an internal and external resource for procedures with ease.
  • Performs information management including organization of electronic files and posting of documents to project portal.
  • Informs supervisor of complex committee/project issues and Identifies concerns of internal project staff and external clients that may need to be shared with committee/project leadership and proposes solutions.
  • Participates in mentoring and/or training of other staff as needed; and may also provide oversight for one or two other staff.
  • May serve as a project representative on a committee and provide oversight for the coordinator.
  • Provides backup and/or supplemental support for other similar committees, task areas, and projects as needed.
  • Effectively manages complex project timelines, using Microsoft Project where appropriate.
  • Performs additional duties as required and assigned.
Qualifications

Education and Experience:

  • Bachelor’s degree in science and at least 5 years of professional experience in a scientific or health-related position (or non-science degree and 5 to 7 years’ experience, or a Master’s degree and at least two years’ experience) required.
  • At least 2 years of experience must be directly related to clinical research.

Knowledge, Skills and Abilities:

  • Excellent verbal and written communication skills, including business and technical writing, and a solid command of Standard English grammar and mechanics.
  • Proficiency in Microsoft Office, including Word, Excel, and PowerPoint; preference for proficiency and experience using Microsoft Project.
  • Work well as part of a team and individually under minimal supervision; communicate effectively with fellow staff members and clients; exhibit a high degree of flexibility, organization, attention to detail, problem-solving, and time management; and effectively manage a moderate to heavy workload with multiple areas of responsibility and competing priorities.
  • Demonstrate decision-making abilities and problem-solving skills; recognize which decisions may have a consequential effect on the Project and/or SSS and make decisions based on experience, skill, and situation, consulting with and/or informing others as appropriate.
