Job Description

In this role, you will provide HR/Executive Coordinator services and coordination to the branches and Office of the Director of the Global Immunization Division (GID).

You will be responsible for the following:

  • Provides internal and external meeting support and conference support by coordinating meeting materials such as agendas, handouts, and confirming room arrangements.
  • Arrange meetings, conferences and site visits for staff, requiring interaction and coordination with internal and external public health officials and support staff, other governmental agencies, non-governmental organizations, and academic and other institutions and keeps minutes as needed.
  • Makes travel arrangements, creates travel orders, requests and vouchers; the full administration of travel including necessary memos, forms and documents, international, domestic and relocation travel.
  • Compile necessary information from/by GID Personnel team members as required as a liaison between CDC and GID staff.
  • Track GID Supplies inventory and update documents and staff.
  • Update multiple SharePoint databases with document receipt data and GID Staff member’s specific information. In SharePoint databses be able to filter, sort, add, delete, manipulate data, run reports, organize files and keep up to date.
  • Serves as primary liaison between program and administrative offices, answering questions concerning policies and procedures for office services, responding to requests and shifts in priorities and commitments.
  • Identify issues and develop recommendations to resolve substantive problems with the effectiveness and efficiency of administrative operations throughout the Division.
  • Prepares written materials, including planning documents, press material, talking points, and strategic guidance documents.
  • Sets up administrative procedures for the Division, Office of the Director and branches.
  • Assist with GID recruitment by managing and organizing incoming applicant data; collecting contractual paperwork; providing real time feedback to ensure deadlines are met.
  • Analyze a full range of human resources issues and concerns for a complex, dynamic and changing organization to identify, consider and resolve a variety of complex human resource-related questions in accordance with Office of Personnel Management (OPM), HHS and CDC standards, policies, and regulations.
  • Maintain regular and punctual attendance.
  • Other duties as assigned.

You must meet the following requirements:

  • Bachelor’s Degree in Business Administration or Human Resources; interchangeable with three (3) or more years of experience in Public Health.
  • Eight (8) to ten (10) years of relevant HR experience in Classification, Recruitment, Placement Management, and Position Management.
  • Experience working for the CDC preferred.
  • Possess ability to filter, sort, add, delete, manipulate data, and run reports in SharePoint databases preferred.
  • Proficient in Microsoft Suite products (i.e. MS Excel, PowerPoint, SharePoint Online, Word, Outlook).
  • Must be able to obtain Government Clearance. Permanent Resident Card (Green Card) or U.S. Citizenship required.
