Minimum Qualifications

-Utilize exceptional customer service skills in a fast paced environment that involves greeting clients, responding to a high volume of phone calls, communicating with clients that may be distressed during the process of dealing with an unwell animal.
Position Summary
The primary responsibility for this position will be assisting and directing clients, veterinarians, the general public, as well as visiting administrative staff and visitors of the Veterinary Teaching Hospital. This position will greet and admit small animal patients, communicate arrival with appropriate clinical staff, resolve basic client needs, collaborate with other staff to fulfill client expectations and answer questions, and will also assist with appointment staff and call center as needed.
Knowledge, Skills, Abilities and/or Competencies
  • Proven ability to deliver excellent customer service, in a calm, professional manner, during challenging circumstances
  • Ability to maintain effective collaborative relationships with faculty, staff, customers, students, and other stakeholders
  • Successful utilization of Microsoft Office Suite and Google Sheets/Documents, especially Word, Excel, and Outlook. Ability to learn and become proficient in other required programs such as Vetview.
  • Ability to operate and maintain a multi-line phone system as well as common office machinery such as a copier and printer
  • Must possess proven knowledge of veterinary terminology
  • Excellent verbal and written communication skills required
  • Must be able to maintain confidentiality with sensitive information
  • Remember, organize, and consistently focus on large amounts of detail and come to appropriate conclusions
Physical Demands
  • Physical ability to lift and carry up to 15 pounds both assisted and unassisted.
  • Ability to sit for long periods of time and use of repetitive actions during the entire work day.
  • Ability to walk and deliver items throughout the Veterinary Teaching Hospital through the course of the day.
  • Use of stairs and different/uneven walking surfaces is common
  • Ability to remember, organize, and consistently focus on large amounts of detail and come to appropriate conclusions.

Duties/Responsibilities

Duties/Responsibilities
  • Primarily manage flow and efficiency of front desk admissions for the small animal hospital by greeting and checking in patients as they arrive for their scheduled appointments
  • Update demographics of patient/client information in the electronic record, open orders in the system, print patient labels/collars, and notify medical personnel of patient arrival
  • Accurately generate pre-admissions, generate initial referral appointments and rebook follow up appointments to back up client care teams
  • Accurately apply knowledge of VTH procedures and protocols to routine and unique situations, ensuring all proper mandates are followed when commencing a referral
  • Anticipate and resolve basic client needs and work with the client care teams to resolve issues related to service provided
  • First point of contact on a multi-line phone system, professionally and accurately answer questions and direct callers to appropriate area(s)
