Support Physician Contracting and Recruitment department efforts throughout the Northside System including coordination of contracting database, records management, recruitment itineraries and general administrative support.

PRIMARY DUTIES AND RESPONSIBILITIES

  1. Contributes to the achievement of established department goals and objectives and adheres to company and department policies, procedures, and quality and safety standards.
  2. Assists with development of training programs for departments / units within the hospital regarding contracting processes, roles and responsibilities. May participate/assist in training new employees on the database.
  3. Serves as the primary administrator for the Legal Physician Contracting Database.
  4. Answers questions regarding usage of the database and grants database access as directed by department leadership.
  5. Maintains a log of all issues with the database, which include reporting outages to the developer and other departments within Northside; and acts as the liaison with the developer in getting issues resolved.
  6. Maintains a log for future enhancements of the database system and assists in the representation of such to the developer.
  7. Maintains and assures confidentiality of all contract and compensation information.
  8. Ensures that each physician contract is entered into the legal database timely, is dated properly and supported by essential documentation such as approval signatures. Supporting documents include fair market value analysis, commercial reasonableness opinions and statement of business necessity. This includes contracts for both Physician Contracting, Service Lines and Physician Development Departments. Upon completion of the Physician Contracting process and adherence to contracting protocol, delivers original documents to Northside legal department.
  9. Assists with the maintenance of reports which summarize department's activities with attorney, FMV vendors, new hire providers, other departments, reports and any other logs as identified.
  10. Develops and maintains working knowledge of the Northside Hospital System and regional communities in order to assist with candidate inquiries.
  11. Assist physician recruiters, as needed, in arranging and coordinating all aspects of physician candidate visits, including interview scheduling, travel reservations, creating itineraries, lunch/dinner orders and/or -reservations, relocation consulting and other tasks as related to candidate visits.
  12. Assist in communication and coordination of appointments for pre-employment activities including health screenings, fingerprinting, badging and parking, as well as new hire orientation.
  13. Serves as the physician recruitment liaison and point of contact for administrative support partners within the organization.
  14. Works with the physician recruiters on marketing plans for physician opportunities.
  15. Ensures compliance with all Hospital Physician Business Development initiatives.
  16. Provide support on projects, which enhance department initiatives.
  1. Three years of recent experience in providing legal or contracting assistance in a corporate setting, healthcare setting or private law firm.
  2. Must possess excellent written, analytical, and interpersonal skills necessary to perform legal or contracting secretarial services.
  3. Experience with computer operations including MS Office Outlook, Word, Excel and PowerPoint
  4. Outstanding attention to details and accuracy
  5. Experience Applicant Tracking Systems and or Databases
  6. Three to five years related experience and or training in health care or physician recruitment; or an equivalent combination of education and experience.
  7. Previous experience working with physicians or medical practices
