Summary:

The Special Assistant will serve as an assistant to the DDT Director and Office of the Director (OD) Leadership, supporting the OD in meeting DDT's mission and strategic goals.

Responsibilities

Essential Job Functions:

    Coordinates meeting/event preparation for the Director and OD Leadership across DDT programs and with external partners based on an understanding of leadership's expectations, knowledge of DDT programs and overall priorities, and related efforts in the organization. Actions include assigning development of meeting agendas, briefing documents, and background information ahead of upcoming meetings; providing guidance on scope, topics, etc. towards the completion of these assignments; and performing an initial review of submitted meeting materials prior to finalization.
  • Drafts presentations, remarks, talking points, and/or correspondence (letters, emails, social media messages) for the Director, using the latest available scientific and policy information.
  • Participates in key meetings with DDT leadership, taking minutes and identifying items for follow-up action.
  • Tracks and manages key tasks and follow-up actions of priority to the Director, coordinating with technical, management, policy/communications, and other staff across the Center and Agency, and with external partners.
  • Manages items for decision and review by DDT Leadership, providing feedback to requesters upon completion based on the Director's review or decision.
  • Coordinates participation in large-scale events, including providing scheduling assistance, coordinating necessary clearance/approvals, informing agenda development, and leading meeting preparation.
  • Coordinates, triages, and executes issues management for DDT OD Leadership.
Qualifications

Necessary Skills and Knowledge:

  • Strong oral and written communication, interpersonal, and customer service skills required. Experience writing talking points and/or briefing documents for leadership preferred.
  • Strong organizational skills required, with high attention to detail and ability to drive details towards the bigger picture/strategy.
  • Ability to work independently and collaboratively in a team setting.
  • Strong analytic skills required.
  • Outstanding critical thinking and problem-solving skills.
  • Excellent time management skills.
  • Experience handling multiple priorities in a fast-paced, deadline-driven environment.
  • Exceptional coordination skills, including the ability to manage and respond to multiple requests and priorities in a timely manner.
  • Ability to coordinate with internal and external stakeholders and staff across technical lanes, job categories, and levels.
  • Demonstrated knowledge in issues management, responding to requests and inquiries timely and effectively.
  • Experience with collaborative platforms (Microsoft Teams, Office 365, Zoom.gov).

Minimum Qualifications:

  • Bachelor's degree or equivalent years of experience.
  • Minimum 2 - 5 years of relevant experience.
  • Health Policy and Communications experience.

Preferred Qualifications:

  • Advance degree in Public Health.
  • Previous CDC experience.
