Assists the Director of Facilities Planning with the coordination of various aspects of facilities planning projects. Duties include: coordinating project activities to achieve project timelines; communicating between users & construction team on project details; selecting, procuring & coordinating the installation of capital equipment associated with major projects; assisting with the development of project budgets & cost tracking; assisting with the identification, documentation, & resolution of hospital space needs, and completes other project tasks as required. This individual is a self-starter, project-oriented, and is able to work with limited supervision.

PRIMARY DUTIES AND RESPONSIBILITIES

  1. Project Coordination/Facilitation - Coordinates various project activities associated with major construction projects by: a) communicating information between hospital users and various members of the construction team regarding project schedules, implementation/ installation details, and project budgets; and b) completing/facilitating the completion of project tasks as needed to insure that timelines are met.
  2. Equipment Selection - Researches equipment, furniture and technology items to meet the needs of various departments within the hospital by conducting internet searches, contacting vendors and consulting with architects and contractors.
  3. Project Budget Development & Cost Tracking - Assists the Director in the development of project budgets by documenting equipment, furniture & technology needs, by determining required specifications, and by obtaining price quotes from vendors. Tracks & monitors actual expenses for all non-construction items within projects.
  4. Equipment Procurement & Coordination - Oversees the purchasing and coordinates the scheduling and installation of equipment, furniture and technology purchases for major construction projects including writing up and/or reviewing capital requisitions to insure accuracy and financial appropriateness. Assists user departments with coordination and installation of these equipment purchases.
  5. Space Needs Assessment - Assists with the identification of space planning needs throughout the hospital system and supports the Director in determining low-cost, high-value solutions to meet these needs.
  6. Square Footage/Space Allocation - Participates in the ongoing monitoring and documentation of square footage allocation by department across the hospital system.
  7. Other Project Activities - Completes other project activities as assigned.
  8. Safety Practices - Practices proper safety techniques in accordance with hospital and departmental policies and procedures. Immediately reports any mechanical or electrical equipment malfunctions, unsafe conditions, or employee/patient/visitor injuryaccident to Manager.

REQUIRED:

  1. Minimum 3 years of responsible experience in project planning or healthcare
  2. Bachelor's degree in related field.
  3. Demonstrated knowledge of technical applications of project management & coordination.
  4. Excellent oral and written communication skills.
  5. Ability to work independently.
  6. Demonstrated analytical and quantitative skills.

PREFERRED:

  1. Demonstrated knowledge of construction management and/or project coordination.
  2. Demonstrated knowledge of equipment selection and procurement processes.
