Your Role

The Gensler is seeking a personable and enthusiastic individual to join our team as a Studio Coordinator, acting as an ambassador and anchor for the studio, providing direct administrative support to the Studio Directors, Principals and design professionals. This role sits at the hub of the studio, providing a single point of contact for internal, external, and firmwide team members. A self-starter with an entrepreneurial perspective, they own and manage aspects of studio operations allowing leadership to focus on strategic matters.

The ideal candidate should have the leadership skills to juggle the day-to-day operations of the studio as well as manage meetings, events and initiatives throughout the office. Candidates should be well organized, thoughtful and service oriented. In addition, candidates should be able to take ownership of tasks and exhibit a high level of initiative and follow-through in a dynamic environment. Cross-function and team collaboration is an important aspect of this position.

What You Will Do

  • Support Studio Directors and Principals with all administrative needs, including scheduling meeting, answering phones, travel arrangements, expense reports, correspondence, etc.
  • Assist Studio Directors with operational aspects of running the studio including, but not limited to, organizing studio meetings, staffing, financial tracking, timecard collection, PTO tracking, proposal/presentation preparation, Performance Development Plan coordination, etc.
  • Oversees the facilitation of talent development programs as well as the learning schedule for the office.
  • Assist Studio Directors and studio with administrative aspects of projects including: project work and client coordination, design and image work for project proposals, qualifications, contracts, meeting notes, project filing, design standards manual, marketing materials, internal/external presentations, and awards submissions.
  • Assist with the collection of consultant and billing invoices.
  • Collaborate with fellow Studio Coordinators to create a welcoming and warm workplace for team members, clients and guests.
  • Work with other Studio Coordinators to cover Principals/Studio Directors/studios as needed and on special projects.
  • Provide back-up support for phone coverage.
  • Manage conference room scheduling and upkeep of studio space.
  • Other administrative duties as assigned
  • Duties may be identified or emphasized, based on the business needs as defined by the Studio and Admin Leaders.

Your Qualifications

  • 3-8+ experience in an administrative support role
  • Experience in a professional services firm preferred
  • Proficient in Microsoft Office (Word, Excel, PowerPoint and Outlook)
  • Knowledge of Adobe Creative Suite - Photoshop, Illustrator, InDesign
  • Miro Board and Adobe Acrobat experience is a plus
  • Experience managing multiple calendars in Outlook
  • Proficient in booking complex travel
  • Strong attention to detail and the ability to multi-task
  • Established success working on multiple tasks/projects at the same time
  • Must be able to determine priorities, take ownership of tasks, and exhibit a high level of initiative and follow-through
  • Excellent verbal and written communication skills
  • Excellent relationship management skills
  • Ability to communicate and interact effectively with all levels of management
  • Proactive by nature and curious to learn more about our business
  • Must be organized, efficient and enjoy working with a team
  • Exceptional customer-service orientation
