Department Information
The Woodruff School graduates high caliber mechanical engineers for a demanding profession. Mechanical engineers are the foundation of todays technological world. To do so, we provide enhanced facilities and laboratories to create the best learning environment and we attract outstanding faculty and students. In this period of rapid technological change, the Woodruff School produces mechanical engineers who are vital to our future.

With approximately 3,000 students, 100 faculty members, and 80 staff members, the Woodruff School is one of the largest mechanical engineering programs in the country. We are consistently ranked as one of the top 10 mechanical engineering programs in the U.S. at both the graduate and undergraduate levels and continuously innovate to keep our school at the forefront of engineering education. Our size and resources allow us to offer a diversity of educational and research opportunities that enable us to produce highly sought after engineering professionals.

Job Summary

Oversee the daily operations of multiple administrative functions within an academic or business unit. Functions usually include all or most of the following: financial records and reporting, human resources, building management and general administrative support to unit staff. This position will interact on a consistent basis with: unit management and staff and management/staff in campus-wide support units (e.g. Human Resources, Facilities, etc.). This position typically will advise and counsel: unit management and staff. This position will supervise: assigned unit administrative staff.

Responsibilities

Job Duty 1 -
Coordinate unit budget preparation, monitor and prepare related reports.

Job Duty 2 -
Supervise unit human resources administrative functions and coordinate efforts with OHR.

Job Duty 3 -
Ensure that unit facilities are maintained.

Job Duty 4 -
Manage preparation of financial related reports and schedules. May include grant administration.

Job Duty 5 -
Coordinate unit space planning and usage.

Job Duty 6 -
Develop unit administrative policies and procedures (or major portions thereof) consistent with Institute policy.

Job Duty 7 -
Coordinate provision of administrative services to unit management and staff.

Job Duty 8 -
Organize the activities of and supervise assigned support staff.

Job Duty 9 -
Perform other duties as assigned

Required Qualifications

Educational Requirements
Bachelor's Degree in business, communications, or related field or equivalent combination of education and experience

Required Experience
Eight to ten years of job related experience

A Master's Degree is preferred.

Preferred Experience

  • Experience in an HR leadership role in the higher education sector, preferably within a research-focused institution.
  • Strong background of demonstrated experience in managing employee relations matters within an academic environment, including conflict resolution, grievance handling, and fostering a positive work culture.
  • Recruitment and hiring of tenured/tenure-track faculty and research faculty.
  • Compensation, reclassification, and promotion processes in higher education
Knowledge, Skills, & Abilities

SKILLS
This job requires working knowledge of a broad range of office management functions and processes including those related to accounting records, human resources, facilities management, records management and related areas. Use of office related computer applications and systems is required. Previous people management experience is also required.

Other Information

The Assistant Director-Administrative Operations is responsible for overseeing the human resources operations of the unit, supervising HR and/or administrative staff, and collaborating with senior leadership to implement HR related strategies in line with the unit's business objectives. Areas of responsibility include employee relations, recruitment, hiring and onboarding, compensation strategy, time and leave reporting, job analysis, performance management, HR record keeping, HR compliance, and international hire/visitor appointments (including visa and permanent residency requests).
