The oversight and management of the University Research Services & Administration (URSA) and its more than 110 staff is essential to the operational backbone of the university's research. The office welcomes applicants for the Project Coordinator, a critical staff member serving the Office of Research Safety and Environmental (ORES). As well as providing support to the Assistant Vice President of Research Safety.

HERE IS WHAT YOU WILL DO

This position will primarily support 1 unit (ORES), with occasional support, as needed, for the other units. This position will work closely with the URSA Business Manager III.

Key duties include, but are not limited to:

  • Provides administrative support in planning special projects and assists staff in the Office of Research and Environmental Safety and the Assistant Vice President for Research Safety.
  • Provides general office management support including ordering supplies and equipment and monitoring inventory.
  • Maintains service contracts on office equipment and specialized laboratory and safety equipment.
  • Supports the high containment core by obtaining urgent supplies for specialized research and arranges needed service of equipment.
  • Works with the URSA Business Manager to ensure payment of annual accreditation fees, memberships, regulatory permits, and invoices for medical services provided as part of the Research Occupational Health Program.
  • Prepares travel authorizations and reimbursements for ORES and ORA for URSA Business Manager processing.
  • Organize the monthly interdepartmental (ORES, ORA, ORIA) meeting, Suitability Assessment Committee (SAC) meetings, and training, workshops, and special events.
  • Prepares committee agendas, minutes, and supplemental materials. Notifies members of meetings. Prepares committee reports, as requested. Maintains committee records and documentation. Assists with the administration of subcommittees, as needed.
  • Coordinates catering orders for monthly committee meetings, quarterly training events, and annual drills/exercises.
  • Provides administrative support for the Select Agent Program, including enrolling researchers into the Suitability Assessment Program, tracking relevant training for enrollees, scheduling fingerprinting appointments, and coordinating with HR and the EAP office to initiate background checks, drug testing, and psychological evaluations. Prepares fingerprinting and parking reimbursements.

Minimum Requirements:

  • Bachelor's degree and two years of related experience; or high school diploma or GED and six years of related experience; or a combination of education and related experience.
