Perform clerical operations for the Wolf Lake, Illinois site. Assisting the site with administrative duties such as data entry, tracking of hazard observations and KPIs.

What You'll Do

As the Administrative Coordinator, you will perform clerical operations for the Wolf Lake, Illinois site. You will be responsible for assisting the site with administrative duties such as data entry, tracking of hazard observations and KPIs, as well as providing support to the HR department and other tasks as assigned. Other duties will include:

  • Demonstrate and be committed to the pursuit of achieving Zero Harm through behavioral based safety leadership
  • Ensure compliance with applicable HSE Performance Standards, objectives and as well as acts, and regulations
  • Live and foster the IPL Corporate Values
  • Responsible for providing basic administrative support for the plant (i.e. Mail, Fed Ex shipping, Assist with site reporting and KPI tracking, Site Newsletter & Site Events Coordination.
  • Wolf Lake plant administrative workload including data entry into SHAERS systems for employees and update job-specific training spreadsheets.
  • Process weekly payroll and payroll data entry
  • Process and report journal reviews, overtime tracking, attendance and point notifications.
  • Answer employee questions in regards to time entry, payroll, and benefit information.
  • Maintains the integrity and confidentiality of human resource files and records.
  • Maintains accurate and up-to-date human resource files, records, and documentation.
  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to HR Business Partner
  • Assist with HRIS functions including processing new hires, pre-employment testing, assisting employees with updates to information, entering promotions and transfers.

    What We're Looking For:

    • High school diploma or equivalent preferred.
    • Associate degree in Business or related field desired
    • 1+ year of administrative / clerical work experience
    • Experience with processing or coordinating a payroll process preferred
    • Ability to work with confidential information and maintain confidentiality of all data
    • Ability to learn and work in business systems such as SAP, Microsoft Office Suite, etc.
    • Ability to communicate with others effectively in both written and verbal manner
    • Excellent written and oral communication skills, organizational and planning skills, facilitation skills, computer skills
    • Positive attitude, friendly demeanor, and a team player
