Project Coordinator - PS Labs
Your tasks

Position Summary:

The Project Coordinator (PC) position is to assist regional service line operations with all administrative activities for the purpose of providing front-end and back-end project efficiencies and to relieve the technical, billable staff of the extensive and required non-billable tasks of running each service line operation.

Responsibilities:

The duties of the PC may include (where applicable) but not be limited to the following:

Creating and monitoring reports out of Business Warehouse / SAP systems

Set up projects in PSE/ Close out projects in PSE

Cooperating with B&R and Account Executives to ensure projects are opened in a timely manner

Communicates delivery dates to customer

Assigns projects to project handlers according to their availability

Ensure the engineering hours are entered and adequate info to close out PSE projects

Timely project invoicing

Ensure that the invoicing is completed by project end

Assist with B&R for collections where necessary (DUNNINGS)

Review the engineer's test deliverable package prior to sending to the client, secured

Coordinating with other TUV global TUV offices for issuance of certificates that are generated from other TUV offices.

Test Report / Certification Management

Emailing and / or mailing reports / certificates to clients

Procurement Activities

Entering purchase requisitions in the TUV SUD system

Work with local vendors on operational needs:

Office supplies and services

Document control/E-File maintenance.

Manage and maintain any locally developed documents (i.e., work instructions, guidance documents); Standard Operating Procedures (SOPs)

Maintain server client folders.

Assist engineers with DIGIDOCS entry where necessary.

Sample Handling and Disposal

Mange the sample handling process using the Storix program software.

Ship items to job sites prior to engineer's arrival.

Ship items to job sites/engineers as needed in case of lost, broken, replacement or otherwise additional equipment needed.

Assist with the planning for various training or meetings, client or internal

Your qualifications

Education and Experience:

High School diploma or equivalent (look at current job descriptions)

Minimum of three (3) years' experience in performing similar duties as required such as Customer Service and/or Project Management in a professional setting.

Previous experience working with consumer product safety standards

Specific Skills, Knowledge and Abilities:

Technical /Business Unit Related Skills & Knowledge: The technical skills and knowledge that are important for a specific role that enable an employee to fulfil the technical and business needs of their role This is to be defined by the respective business unit/department and will be evaluated in performance assessments.

Candidates shall also possess the following skills:

Excellent oral and written communication skills

Fluent in MS Office based applications to include MS Word, Excel, PowerPoint

Team player

Self-motivated

Quick learner

The following skills are a plus:

Familiarity with SAP platform

Technical background

Good working knowledge of MS Excel
